How to build a great contact database

Create your own Custom field in RAYNET

If the preset fields are not enough for you to record client data, create your own. You can add them to all types of records and it's up to you what they look like. It can be a text box, a drop-down list, a check mark and more. You create fields in Settings - Add-ons - Creating custom fields. You can get contacts to RAYNET using Import templates

If you want to add more customers to RAYNET at once, use one of the Import templates found in Settings. Import templates are used to transfer Leads, Clients, Contact Persons or Products to RAYNET. You can find the complete instructions here or try the video version below ⇩

You can cleverly categorize clients

You can categorize all your contacts in RAYNET exactly according to your needs and ideas. You can use three types of fields for this:

  • Categories
  • Labels
  • Custom fields

Categories are a clear first choice for basic client classification. You can assign not only a name but also a color to each category that you define. In the list view, you can see at a glance which group the client belongs to. Setting categories is extremely easy. Take a look at the quick video tutorial here ⇩

 

Labels have the advantage that you can assign any number of them to each client. They are most often used to indicate that a client meets a property you work with in a store. For example, being "VIP", he feels "BIG POTENTIAL", he is still a "SMALL CLIENT". You can find the ability to add labels in all record types in the lower left corner.

 

You can then easily filter and search for your contacts and clients by labels, categories, and other fields. The goal of a well-established CRM is to be able to find and display everything essential in a few clicks. And when you need to embellish something special, advanced filtering will help.

Advanced filtering

In RAYNET, all data are in one place and, in addition, logically interconnected. Thanks to this, you can easily search for them or filter them according to various criteria and clever parameters. For example:

  • for how much have you already sold your goods / services to them,
  • how did you come across them,
  • which trader deals with them,
  • where he is based,
  • and dozens of other filtering options.

In the worksheet, click the Advanced filter button and choose from the options provided. Save the filters that you use often. You can then switch between the individual filters with one click. Take a look at how to do it in the video.

 

You can then export the list of clients that CRM will filter for you to an Excel spreadsheet. You can use the power of advanced filtering to target your marketing campaigns more accurately, among other things. And it is necessary to use the integration with one of the email marketing services.

Attachments

You can upload attachments (files from your computer, or links to online files, Google documents, etc.) to each client (as well as a business case or meeting). With the help of the mobile version, you can also add photos and audio recordings to attachments. For example, take a picture of the described flipchart and add it to the minutes of the meeting with two clicks.

(The maximum size of one attachment is 50 MB and the size of your storage is 1 TB, so you don't have to save it).

And what about GDPR?

In RAYNET, you can store all contacts in accordance with GDPR. In the extension section, you will find a separate GDPR module that will help you with the monitoring of personal and sensitive data directly in your CRM. Once set up, it will alert you to all the registered data for which you need a legal title, and will also allow you to anonymize the data.
